Best Veterinary Solutions, Inc., has an immediate opening for an Administrative Assistant. This position will work 8:00AM-5:00PM at our Ellsworth, Iowa location. The Administrative Assistant is responsible for maintaining a variety of essential functions for BVS. This role will interact with customers and all departments to perform multiple administrative duties, and act as a backup for customer service support. This position is responsible for maintaining a high level of professionalism with internal and external customers and works to establish a positive rapport with others.


  • Interacts with customers via telephone, email, or in person to provide support and information on BVS products and services.
  • Greet customers and employees with a positive attitude.
  • Assists in responding to customer inquiries or transfer customers to appropriate personnel.
  • Coordinates the flow of information from customers to BVS employees and vice versa.
  • Maintains Ellsworth’s office supplies and request items as needed.  
  • Locate and send out reports to appropriate parties.
  • Build rapport with customers and respond to their needs in a timely manner.
  • Has a “customer oriented” attitude and demonstrates patience and assurance when dealing with BVS customers.
  • Ensures that appropriate actions are taken to resolve customers problems and concerns
  • Assist all departments in administrative tasks, projects, and planning.
  • Maintain scheduling and event calendars.
  • Enters orders in the system, checking accuracy of price, quantity, addresses and timeliness of the orders processed, post sales after processing and invoice customers.
  • Provide information of orders to customers.
  • Works with Sales Representatives to determine and set appropriate pricing levels for customers in the system.
  • Maintains customer accounts and records of customer interactions with details of inquiries, complaints, or comments.
  • Uses knowledge of a specific product, service, or other assigned area of expertise to answer inquiries.
  • Expert in the navigation through SalesPad to lookup orders, invoices, inventory and allocations instantly while on the phone.
  • Performs other related duties as assigned.


Required Skills/Abilities:

  • Excellent verbal and written communication skills including active listening.
  • Excellent organizational, planning, and follow-up skills.
  • Ability to demonstrate professionalism when interacting with customers.
  • Must be able to handle multiple tasks and effectively work independently.
  • Must have the ability to work collaboratively with others as part of the team
  • Service-oriented and able to resolve customer concerns.
  • Willing to embrace an ever changing environment.
  • Demonstrated ability to develop and maintain positive rapport with customers.
  • Proficient computer skills with the ability to learn new software.
  • Knowledge of, or ability to learn, product, service, or area of customer service specialization.

Education and Experience:

  • High school diploma or equivalent.
  • 1+ years customer service experience required; 2+ years preferred.

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.
